Overview
This page describes how a field user can complete forms in the field using the QESTField web app. The page discusses adding forms to a work order, downloading forms, filling out forms and uploading forms.
Adding a Form
After logging into the QESTField web app, the Search page is displayed. This page will list the work orders assigned to the user for the current date identified by the Work Date (the date will automatically default to today's date).
Open the appropriate work order by:
- Selecting the work order from this list.
- Changing the Work Date or specifying a Work Order ID to search for the appropriate work order.
- Creating a new work order.
A page will be opened which will display information about the work order and a list of workflows grouped into sections.
Add a new form by clicking the appropriate form workflow from the New Form section. The form will be added to the work order under the workflows section of the page. From here the form can be viewed or edited.
Note specific forms will only be available for adding by a user if they have the correct Access permission for the given form.
Filling out a Form
The edit form workflow page displays a preview image of the form along with a number of actions the user can perform.
Note the preview image will not be able to show all images that exist on the first page, this is due to the way the preview image is generated.
Editing Forms
To edit the form, click on the form preview. This will download a PDF of the form to the default download folder on the device. The can then open the PDF, fill out the form and save the changes.
A third party PDF editing tool is required to be installed on the device to edit and save changes to the form.
Uploading Forms
After editing the form in the third part editing tool and saving the changes, the PDF must be uploaded. To upload the form click the Upload Form button, a file manager will be displayed. The user will then need to navigate to the PDF that has been saved and select it.
Once selected the PDF will upload to QESTField. Each page will have the page numbers updated automatically. Existing page numbers will be updated if they exist as one continuous piece of text (i.e. not in a field or separated into multiple text areas) and are of the form "Page X of Y", otherwise a new page number will be added to the footer. This handles pages that have been added, deleted, or rearranged.
All images that exceed the specified target size and quality, in the QESTField resizing options within the QEST Admin Console, will be resized prior to upload. This is in order to decrease the size of the form being synced to and from the server. The Upload Form section identifies that the form has been successfully uploaded (or any errors), the date and time of upload and the user who uploaded the PDF.
Important
The PDF that is uploaded must contain the same ID that matches the form in QESTField otherwise it will not be uploaded. This step is in place to stop users accidentally uploading the wrong PDF.
Refreshing Fields
When field values that are mapped to a form have been changed after a form has been created (e.g. the Work Date on a Work Order has been changed) the value on the form is not updated (e.g. the form will still display the old Work Date), until a refresh is triggered so that the new data is shown on the form. The Refresh Fields button will be shown in the Preview Form container for each form that can be used to refresh the mapped fields on the form to ensure that all fields are up to date. The preview will be updated, and the user can then open the new version of the PDF.
Deleting a Form
To delete a form from a work order click the form from the work order page and then click the Delete button (A confirmation dialog will be displayed, next click OK to confirm deletion.
).The workflow will process for a few moments and then return to the Work Order page. The form should now deleted from the work order.

The deleting of a form from a work order is permanent, this action cannot be undone.
