Managing People

This article describes how to add new people to the system and manage them.

Overview
All people in QEST Platform are managed centrally through the People node in the QESTLab tree. This includes users of the QEST Platform system but also people recorded on worksheets such as Sampled By who may be internal or external to the organization. The Sampled By list is visible under the Lists section in QESTLab, but provides a read-only view of the People in the system, any required modification of the entries needs to be completed through the People node in QESTLab.
Adding a Person
Select the People node from the QESTLab tree and click New Person.
Enter a Code and Name for the person.
Select the Location for the person (the location will be locked to the current laboratory context unless the All laboratory context is selected).
Click OK.
To access the People node in the QESTLab tree, the People permission under General Rights is required.
Entering Person Information
Information pertaining to the person can be entered in the right hand pane.
Personal Information
Name: The name of the person.
Title: A title the person is referred to on formal documents such as reports.
E-mail: The e-mail address of the person used for notifications and contact information.
Code: A unique code the person is referred to by in QEST Platform. This code will not change over time.
Signature: An image of the person's signature. This can be used by the person when logged in to electronically sign reports where they have appropriate signatory rights. If the person will not be signing reports, the signature can be left empty.
Signature Image Files
Files to be uploaded can be JPEG, PNG, TIF, GIF or BMP and are recommended to have a file size of less than 1.5 MB. Files larger than 5 MB cannot be used.
Technician Information
Field Technician: A person who does field work. If a person is not a Field Technician they cannot have Work Orders assigned to them.
Lab Technician: A person who does laboratory work.
Lab Endorsed: A person who can do endorsed work by the laboratory for reporting purposes.
Note Code: A code corresponding to an item's code in the Test Report Notes list. The item will be reported in the Remarks section of an Australian Concrete Report when this person is selected as the Sampled By person.
Available Hours: The days and hours that this person will be working can be specified. This information can then be queried on management reports.
Technician Laboratory Availability
Select the home laboratory of the technician. Any additional laboratories that the technician works for should also be selected. The laboratories selected here do not affect the permissions for this user (if they have a QEST Platform Login), but determine the locations that this person can complete field work at. That is, work orders from these laboratories will be able to be assigned to the currently selected person. This functionality is useful where locations are geographically close to one another and the locations share people for the purposes of field work.
People Lists
There are a number of lists in QEST Platform for selecting who completed what work. These lists are populated based on the People in QEST Platform and whether they are Field Technicians, Lab Technicians and/or users (i.e. have a QEST Platform Login).

For a Person to be shown in a list they also must be available at the current laboratory context in QESTLab, see the Technician Laboratory Availability section above.
Deleting a Person
To remove a person from appearing under the People node in QESTLab, select their name and the select the Delete button on the toolbar. A warning message will say this person will be permanently deleted. However, the person is not entirely removed from the database. From a user interface perspective, they appear to be deleted in QESTLab and their name will not be available for selection on any document, nor will the person appear under the People node in the tree. Please note: their name will not disappear from any existing documents.
If the person needs to be ‘re-activated’ this can be done by Spectra QEST and charged at regular hourly service rates.
The warning message will vary slightly depending on whether or not the person has a login.
