This article describes the QEST Platform Licensing page in the QEST Web App.

Overview

Effective from QEST Platform v5.8 onwards, the License Usage menu item under the Administration>Tracking section in QEST Web App has been renamed to QEST Platform Licensing. This allows QEST Platform Administrators the ability to manage access for named users. The page shows the names of users who have been granted a license to use the QEST Platform.

The information provided in this article does not apply to organizations that may have a ‘concurrent user’ licensing agreement. For organizations operating under Spectra QEST’s discontinued ‘concurrent user’ licensing agreements, please refer to Checking Concurrent License Use for the QEST Platform for details about monitoring license usage.

License Usage Fields

The fields in this section are read only.

Field Name	Description

Field Name	Description
Company Name	This comes from the Customer Name set in the organization’s license. To make changes to this field, please raise a request through the Spectra QEST Service Desk portal.
QEST Platform User Licenses	The total number of named users the organization is licensed for. To purchase more licenses, please contact the Spectra QEST sales team.
Licenses Used	The number of users that have been granted a license.

Access Management

Filters

The fields available in this subsection allow the filtering of the Users grid subsection, in order to:

Check if a specific user has been allocated a license.
Quickly locate a user that should have access revoked.
Find all new users (created after a certain date and time) to allow quickly allocating licenses to these users.

Home Laboratory	A multi-select field that allows the user to select one or more laboratories. Selected values here will restrict the Users grid to show only those users who have a Home Laboratory matching one of those selected.
Person Name Contains	A free entry text field. Entering a value here will restrict the Users grid to those users whose Name field on their Person record contains the entered value. See Managing People for more information about the Person record.
User Name Contains	A free entry text field. Entering a value here will restrict the Users grid to only those users that have a login that contains the entered value. This field is helpful for organizations where the users login name is different than the person name (e.g. the login may be a number).
User Created After	Date/time entry field. Entering a date/time value here will restrict the Users grid to only those users created after the selected time.
Show Users	A set of radio buttons with the following options: All Licensed Unlicensed Selecting an option will show the relevant subset of users in the Users grid.

Users Grid

The Users grid subsection lists all of the users who are registered in the QEST Platform. The following columns are displayed.

The entries are sorted by Home Laboratory, then Person Name by default but custom sorting on any (one) column is possible by selecting the column heading.

Home Laboratory	The user’s Home laboratory.
Person Name	The Name field from the Person record associated with the user.
User Name	The user’s Login
Email	The Email field from the Person record associated with the user,
Last Usage	The day that this person last used one of the QEST Platform products. This date is stored in UTC but will be displayed according to the time zone of the QESTNet server. The date is formatted according to the web browser's localization settings of the user accessing the page.
Add	The content of this column depends on whether or not: The total number of available named user licenses has been allocated. The user in the given row has been granted a license. If all licenses have been allocated: “-” is shown. If additional licenses can be allocated: And the user already has a license granted, a “-” is shown. Or, The user does not have a license allocated, an Add link is shown. Clicking Add will allocate a license to the user in this row.
Revoke	The content of this column depends on whether or not the user in the given row has been allocated a license. If the user already has a license allocated: A Revoke link is shown. Clicking Revoke will revoke the license from the user in this row. See the Revoking Access section below for more details. If the user does not have a license allocated a “-” is shown.

Revoking Access

Previously allocated licenses can be revoked by clicking the Revoke link from the user’s row in the Users grid. Pressing Revoke on a record in the grid will show a dialog allowing the user to confirm (OK) or Cancel the revocation of access.

If revoking access for a user would leave the system without any active users with the System Administrator right, the action will not be allowed to continue. A notification to assign another system administrator a license will be shown before access for the last system administrator user can be revoked.

Deletion/Deactivation of Users

If user records have been deactivated and/or entirely deleted through QESTLab (seeManaging Users | Deactivating a User ) or through external means, the license allocated to the newly deleted user is no longer counted towards the total and is available to be allocated to another user.

If a de-activated user is re-activated, their previous license will no longer be allocated to them and will need to be granted again.
